Privacy Policy

Last updated: September 29, 2026

This Privacy Policy explains how Fantech Labs ("Fantech", "we", "us", "our"), operating as Fantech Mortgage Tech, collects, uses, discloses, and protects personal information when you visit fantechmortgagetech.com (the "Website"). It applies to visitors in Canada and the United States. It applies only to the Website and to information you share with us through it or by email. It does not apply to information collected offline or through other channels, or to data we process for our clients while delivering services (see "Client Data").

The Website is intended for business visitors in Canada and the United States. It is not intended for individuals in the European Economic Area or the United Kingdom.

Where the law requires it, we ask for your consent before collecting, using, or sharing your personal information. By submitting a form or contacting us, you consent to us handling your information as described in this policy to respond to you. For non-essential cookies and analytics, we ask for your consent through a cookie banner, and you can change your choice at any time. You can withdraw consent at any time by contacting us (see "Your Rights"). Withdrawing consent may limit our ability to respond to you or provide certain services.

2. Information We Collect

We collect only what we need for the purposes below.

Information you give us: name, business name, email address, phone number, job role, the tools or systems your business uses, and the content of any message or attachment you send through our forms or by email.

Information collected automatically: IP address, browser type, device information, Internet Service Provider, date and time of visit, referring and exit pages, pages viewed, and approximate location derived from IP address.

Please do not send borrower personal information, financial documents, or other sensitive data through the Website forms or by email. If sharing such data is needed for a project, we will arrange a secure method under a written agreement first.

3. How We Use Your Information

  • Respond to enquiries and schedule calls or workflow reviews
  • Provide, operate, and maintain the Website
  • Improve the Website and our services
  • Understand and analyze how visitors use the Website
  • Send you information about our services, where you have consented or where the law allows (see "Marketing Communications")
  • Detect and prevent fraud, abuse, and security incidents
  • Comply with legal obligations

4. Log Files

Like most websites, we use standard log files that record IP addresses, browser type, ISP, date and time stamps, referring and exit pages, and possibly the number of clicks. We use this data to analyze trends, administer the Website, and keep it secure. We do not use log data to identify individual visitors, except where needed to investigate security incidents or as required by law.

5. Cookies and Analytics

We use cookies and similar technologies to remember preferences, understand which pages are visited, and improve the Website. Essential cookies are always active. Analytics cookies are used only if you accept them through our cookie banner. We do not run advertising or retargeting on the Website, and we do not use advertising cookies. Analytics on the Website are provided by third-party tools such as Google Analytics, which may collect data about your use of the Website under their own privacy policies.

You can also disable cookies in your browser settings, though parts of the Website may not work as intended. We treat a Global Privacy Control (GPC) signal from your browser as a request to opt out of non-essential tracking, where required by law.

6. Sharing Your Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We may disclose it to:

  • Fantech Labs team members and contractors who support the Fantech Mortgage Tech service, on a need-to-know basis
  • Service providers that host the Website, send email, provide scheduling, run our CRM, or provide analytics. They may use the data only to provide those services to us
  • Authorities or professional advisers when required by law or to protect our rights
  • A buyer or successor in connection with a merger, sale, or reorganization of our business, who will be bound to protect your information consistently with this policy

7. Third-Party Websites

The Website may link to other websites or services. This policy does not apply to them, so please read their privacy policies.

8. Client Data

When we work with a brokerage, lender, or other client, we may handle information about that client's borrowers or customers, for example through a CRM, loan origination system, or custom portal. In that case we act as a service provider (processor) and handle the data only on the client's instructions and under a written agreement that includes appropriate confidentiality and security obligations. The client is responsible for obtaining borrower consent and for its own compliance with laws that apply to it, including PIPEDA and provincial privacy laws in Canada and, where applicable, the Gramm-Leach-Bliley Act in the United States. This Privacy Policy does not govern that data. Borrowers with questions should contact their mortgage brokerage or lender.

9. Data Retention

We keep personal information only as long as needed for the purposes above or as required by law. As a general guide:

  • Enquiries and correspondence: up to 24 months after our last contact, unless they lead to a client relationship
  • Marketing contacts: until you unsubscribe or withdraw consent
  • Website log and analytics data: up to 26 months
  • Client relationship records: for the term of the agreement plus the period required by law

After that, we delete or anonymize the information.

10. Security

We use reasonable technical and organizational safeguards to protect personal information against loss, misuse, and unauthorized access, including access controls, encryption in transit, and restricting access to authorized personnel. No system is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm, we will notify affected people and regulators as required by law.

11. International Data Transfers

Fantech Labs operates in Canada and Pakistan and serves clients in Canada and the United States. Your information may be stored or processed in these or other countries, where it may be accessible to courts and authorities under local law. We take reasonable steps, including contractual safeguards, to protect it wherever it is handled. You may contact us for more information about our practices regarding service providers outside Canada.

12. Your Rights

Canada. Under PIPEDA and applicable provincial laws (including those of Alberta, British Columbia, and Quebec), you may request access to the personal information we hold about you, ask for corrections, withdraw consent, and make a complaint. Quebec residents may also have the right to data portability and to be informed of any decision based exclusively on automated processing. You may complain to the Office of the Privacy Commissioner of Canada or your provincial regulator, such as the Commission d'accès à l'information du Québec.

United States. Depending on your state (for example California, Colorado, Virginia, Connecticut, Texas, and others), you may have the right to:

  • Know what personal information we collect, use, and disclose
  • Access a copy of your personal information
  • Correct inaccurate information
  • Delete your personal information
  • Opt out of the sale or sharing of personal information (we do not sell or share it as described above)
  • Not be discriminated against for exercising these rights

To make a request, contact our Privacy Officer using the details below. We may need to verify your identity, and you may use an authorized agent where the law allows. We will respond within the time required by law. If we deny a request, you may appeal by contacting us, and you may contact your state Attorney General.

13. Marketing Communications

We send marketing emails only with your consent, or where the law allows, in line with CASL (Canada) and the CAN-SPAM Act (US). Every message identifies us and includes a working unsubscribe link, and we honor opt-outs promptly, no later than 10 business days.

14. Children's Information

The Website is intended for businesses and is not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
